Frequently asked questions

Single user license

  • Does CubeiTz work on a Flash Drive?

Yes. Cubeitz detects any external devices plugged into your computer – select the devise where you want to store data and import the data into Cubeitz. Only yourself will be able to view the data on the USB key. You can even make the files invisible in any storage location outside of Cubeitz so anyone viewing the device/memory won’t even know data is stored there.

  • Does Cubeitz stop hackers etc… snooping on my files?

Yes, this is one of the primary functions of Cubeitz. Any data stored in Cubeitz is rendered useless to whoever obtains it without your permission.

  • Does Cubeitz have any audit or activity logs?

Yes, there is an activity log showing you details of who has accessed your data and what they do with it.

  • How do I work on or view my encrypted data?

You simple double-click the data in Cubeitz. Cubeitz decrypts it and opens an application associated with that type of data.  Do your work, make your changes, save then secure it back into Cubeitz by clicking the re-encrypt all button, or from the right-click dropdown menu.

  • Does Cubeitz have version control?

Yes. Each time you make a change to a file a new version is created. By default, 10 versions are stored before the oldest is overwritten. You can change the number of stored versions up to 1000.

NOTE: each version uses memory/cloud storage.

  • Can I export or view earlier version of a file?

Yes. Simply right-click a file > choose ‘export selected/version’ – If exporting a previous version select it and click ‘Export’ – you will be prompted to choose a location to save the exported data.

  • What happens if I lose/forget my password?

You can request a new password from the log-in screen. You will have to give answers based on the security questions you set when registering your account. A new password will be emailed to the account you registered with us. Log-in using this password and change it if required Preferences > settings > Change Password.

  • How do I make Cubeitz part of my workflow?

Upon installation of Cubeitz a folder is created in the computers Documents folder called ‘Cubeitz Drop Encrypt’. Any data saved to the Cubeitz drop encrypt folder will automatically be imported and saved into Cubeitz at a location defined by the user. Cubeitz routinely checks every 60 seconds for data in the drop encrypt folder, imports it then deletes it from the drop encrypt folder.

This feature allows the user to make Cubeitz part of a workflow by defining the drop encrypt folder as a location for external applications to automatically save data. Perfect for automating off-site back-ups to the cloud.

  • If my device is lost or stolen can I retrieve my data?

Yes. Providing you store or back-up your data to the Cloud you will still be able to access it. Half of the encryption key is stored hidden within the file and the other half of the key is stored securely on the Cubeitz server. Providing you can download or access your data, you will always be able to access it.

  • What are the minimum system specifications for Windows & Mac computers?

    Windows 7SP1 upwards – we recommend win10.

Mac 10.10.5 upwards – we recommend 10.12 upwards.

  • How do I delete items from Cubeitz?

Select and right-click a file or Cube > select ‘Delete’ from the dropdown – A window opens displaying the selected items, including items contained within a file/Cube. If you are happy you want to delete the items listed, click ‘Delete’. NOTE: this action cannot be undone once deleted.

  • I’ve got a new computer; can I copy the data over?

Yes. Any data files you have which have been encrypted by Cubeitz can be moved between computers. When writing them to a new computer ensure they are stored in the file where Cubeitz can locate them – ‘Cubeitz Encrypted’.
When you next log-in to Cubeitz, Cubeitz will recognise them as your files and give you access.

  • My device has been hacked/lost/stolen, is my data safe?

    Yes – Completely.

Any data stored in Cubeitz is completely safe. Depending how you configure Cubeitz, the data may not even appear on the devise you have lost. If you have not completely hidden the data and the files are visible, their names are hidden/obfuscated anyway, so they make no sense to whoever has it.

  • How do I update Cubeitz and know I have the current version?

Cubeitz software, once installed will check for updates for you.

You can check yourself and see if you are running the current version by selecting ‘Window’ in the main menu and ‘Check for Updates’. You will be told whether you are running the latest version or whether you need to update.

  • I’ve changed my email address, does it matter?

You can still use your old email address to log-into Cubeitz, but you will need to notify us of your new email address, so we can update our records. Yes. Cubeitz has been designed not only to securely store your data, but also to share it securely with your contacts in Cubeitz.

  • How do I share data with my contacts?

The easiest way to share data is to ensure you are connected via the Cubeitz Cloud.

Cubeitz handles all the communication and sharing of keys for recipients to view the data.

Simply select the data you want to share > right-click > set sharing permissions.

  • Do I have to use the Cubeitz Cloud to share data?

Providing you have the same Cloud account and you have set-up a shared folder, configured sharing within the Cloud account and Cubeitz you can share via any Cloud.

  • What is Cubeitz for?

Cubeitz has been designed and developed to allow you to securely store and share data.
Cubeitz removes a highly complex set of routines from the user to make it as simple to use as possible.

Providing the data is protected by Cubeitz it will not be visible or accessible to anyone without your permission.

  • Where are the encryption keys stored and do I have access to them?

No complete key is ever stored in one place. When data is encrypted in Cubeitz a 1million bit encryption key is generated for that particular piece of data. The key is then split into multiple parts and stored in different locations, making it impossible for hackers or thieves to access.

  • Does CubeiTz require connection to the internet to work?

Cubeitz requires connection to the internet to manage your account, data and the encryption keys for you to access your data. This is a major security feature which ensures no one can assess your data.

  • What happens if I lose my key?

    You cannot lose your keys.

Keys are made part of the data you encrypt. You access the full key when you log-in to Cubeitz.
If you lose your data (lost/stolen/compromised) only half the key is contained inside so it is impossible to view.

We suggest making back-ups of your data to the Cloud (Cubeitz Cloud, Dropbox etc), so you can always access the data (and half the key inside) when you log-in to Cubeitz.
Any data stored in the Cubeitz Cloud is fully managed for you along with the encryption keys.

  • What kind of encryption does CubeiTz use?

Cubeitz uses AES256 encryption as part of its multi-level encryption engine.

  • What devices are supported?

Cubeitz currently works on Mac, Windows & Linux desktop & laptops.

A mobile version is scheduled for release Q2 2019

Enterprise Solution

  • What is the Cubeitz Enterprise Solution ?

The Cubeitz Enterprise solution (CES) is designed for Businesses or SME’s who do not have their own IT department or IT support. We create a data silo on the Cubeitz cloud which is dedicated to your business and only accessible to people with permission from within your business.

  • How does this differ from a single user license?

CES allows secure communication both internally and externally to your business while giving flexibility to the amount of people who use it. With storage and sharing capabilities with 1TB CES is ideal for the secure management of data and data sharing. (more storage is available).

  • Do you offer managed services?

Yes. We assist not only in the set-up of your Enterprise system, we can also assist with configuring back-ups and updates to the system.

  • Does the Enterprise solution help with GDPR compliance?

Yes indeed. All versions of Cubeitz help with compliance for file storage. Cubeitz features address all15 points the requirements of privacy legislation such as GDPR requires regarding encryption:

    1. Protects data “at-rest” – in the cloud and locally
    2. Protects data “in-transit” from end to end
    3. Encrypts files fully, not partially
    4. Provides client-side encryption with user-held keys
    5. Provides automatic and transparent encryption and decryption
    6. Encrypts a wide range of data
    7. Integrates easily with existing processes
    8. Provides vendor-neutral support for different types of cloud storage
    9. Allows you to copy encrypted data from one place to another
    10. Enables developers to protect primary copies of data – implementing security by design and default
    11. Enables system administrators to protect secondary copies of data
    12. Provides long term security
    13. Is a reputable, high quality solution
    14. Provides cryptographic security at cloud proportions
    15. Provides integrity checking of encrypted data
  • Can I manage users of the Enterprise system?

Yes – The Enterprise system allows you manage users and their access to your business. Once you have completed your business with your client, revoke their access and allocate permission to a new user.

  • When I remove a client from Cubeitz Enterprise account will they lose access to Cubeitz?

No – They will only lose access to your business and the ability to share with you. You can always add them again and give them access.
They will still have Cubeitz installed on their computer for personal use.

Exchange Solution

  • What is the Cubeitz Exchange Solution?

The Cubeitz Exchange Solution (CES) is the complete Cubeitz solution but with full administrator controls running from within your own network.

  • What access controls are there?

Nobody will gain access to CES running within your network without the permission of the Administrators. Each user is granted permission to the system by the Administrator as well as access to specific functions within the system.

  • An employee has left the company, how can I close their account?

You can either reallocate their permissions and privileges within the system to another user, or revoke access to the system which removes all access to any data wherever it is stored.

  • How is this deployed across a corporate domain?

The CES is deployed by way of a simple installation.

We can assist, if required, in the installation and set-up, but it has been designed to be very easy.

The Cubeitz database (holding the user and cube meta data) would be best held on a central and fast server. All users would log into this server. While it is possible to have one large Amazon AWS bucket repository, the administrator may instead choose to have multiple Amazon AWS file servers, each configured to hold the user files local to their region, for faster access. Each of these file servers would act as regional clouds within Cubeitz with users only accessing the clouds they need.
